HIM Specialist – Limited Term

Introduction:

Waukesha County is currently seeking a qualified individual to serve as Senior Administrative Specialist HIM Specialist for the Department of Health and Human Services.  This position will work with the HIM Supervisor to review and revise policy and procedures for Health and Human Services regarding records and medical records for Social Services and Clinical areas to include outpatient services and a 28-bed inpatient mental facility.

This is a Limited Term, 40 hr./week, position expected to last for 12+ months.

Job Description:

  • Creates, updates and maintains a variety of complex spreadsheets, databases and applications, analyzes information, prepares reports, tables and charts; drafts reports or summaries on specific subject/program areas.
  • Researches, analyzes, reviews and evaluates state and federal privacy, security and confidentiality laws and coordinates with HIM Supervisor and county legal counsel and other key departments and divisions to ensure the development and implementation of appropriate policies and procedures, and privacy security practices.
  • Completes chart analysis to identify any deficiencies.  Works closely with HIM Supervisor to improve chart completion and resolve deficiencies.
  • Assist the HIM Supervisor in training the HIM team on all policy and procedures.
  • Works with HIM Supervisor to develop and administers the records management policies and procedures for electronic records, electronic Health Records, storage, retrieval, release and destruction of all department records and related forms.
  • Experience with electronic medical records
  • Thorough understanding of HIPAA regulations as they relate to the confidentiality of medical records
  • Previous health information records experience specific to file protocol, content management and general medical terminology
  • Assigns, directs, trains and monitors the work of designated support staff, provides guidance and feedback.
  • Provides back-up assistance to the Supervisor as necessary.
  • Gather data, prepares, researches and analyzes complex information, identifies and resolves error related to department/division specific programs or projects.
  • Manages confidential and sensitive information and documents, situations and request.
  • Manages routine and special projects and schedules.
  • Knowledge of release of information processes
  • Possess critical thinking and problem solving skills
  • Ability to use Microsoft Word, Excel, Outlook
  • Excellent verbal and written communication skills
  • Ability to work independently as well as on a collaborative team
  • Ability to keep accurate records and develop reports in accordance with department and facility standards
  • Scan documents after our electronic medical record system is implemented

Required Qualifications:

  • High School Diploma or GED.
  • Three years of post high school work experience providing administrative support.
  • One year of recognized post high school training in business, administrative professional or closely related field may substitute for one year of the work experience requirement.
  • For this work assignment, certification as a Registered Health Information Technician is required.

Preferred Qualifications:

  • For this work assignment, certification as a Registered Health Information Technician is required.

Education Qualifications:

  • High School Diploma or GED.
  • Three years of post high school work experience providing administrative support.
  • One year of recognized post high school training in business, administrative professional or closely related field may substitute for one year of the work experience requirement.
  • For this work assignment, certification as a Registered Health Information Technician is required.

Compensation/Benefits:

Wage: $17.77 – $23.51/hour

Position is eligible for health insurance benefit and WRS pension.
